Upgrading Embedded Voicemail Prompts Using TFTP

There have been several updates to Embedded Voicemail over the last few releases of IP Office. When Avaya adds a feature like Dial by Name to Embedded Voicemail, the Embedded Voicemail card itself needs new audio prompts to accommodate the new feature. Oftentimes this is overlooked and when an individual tries to access Dial by Name through an Embedded Voicemail Auto Attendant, they are met with silence and assume the feature is broken. In reality, the feature is working fine but the Embedded Voicemail card lacks the audio prompts necessary to accommodate the new feature.
In this entry, we will focus on upgrading the Embedded Voicemail prompts using TFTP. For those familiar with navigating through a command prompt, this is a simple and reliable way to upload any missing prompts.
(Note: Due to a slight variation in 4.2 and 5.0 Admin Suites, 5.0 users can skip ahead to step 6)
1 – Ensure the File Writer IP Address in the IP Office configuration matches the address of the PC used to transfer the prompts.
2 – Navigate to the 4.2 Admin CD or 4.2 Admin Suite download on your computer.
3- Navigate to ADMIN4_2_4\LVMSOUND\G711 Files for 500 of 406 control units.
4- Navigate to ADMIN4_2_4\LVMSOUND\G723 Files Small Office Edition control units.
5- Extract the appropriate .zip file (either G711.zip or G723.zip).
6 – Extract the .zip file into your local LVMSound directory on that computer
(typically C:\Program Files\Avaya\IP Office\Manager\LVMSound)
7 – Click Start > Run
8 – In the Open field, type cmd and click Ok.
9 – In the command prompt, type “cd C:\Program Files\Avaya\IP Office\Manager\LVMSound” and press enter.
10 – The next line should show you’re in the LVMSound folder. Type “send711” (406/500) or “send723″ (SoE) followed by the LAN1 IP address of the IP Office.
11 – The batch file will now transfer the necessary folders and prompt files. Do not close out the window. This process can take up to 40 minutes.
12 – When finished, close the command prompt window and reboot the control unit. The new prompts will be loaded within 10 minutes.
