Proposal Tool

You can now create a price quote for your customer after you complete your IPOffice design.  Just click the “Complete (editable)” button and when asked if you want to run the proposal tool, select “yes”.  This will enable you to create a price quote with the design.  Click here to view the various tutorials that will help you create a proposal.  Enjoy the new proposal capabilities.

IPOffice Design Tools

 

Newly adding or updating the Catalyst ConfigTool:

  1. Go to the following URL:  http://www.catalysttelecom.com/sitecore/content/Catalyst/Reseller%20Support/Online%20Tools/Config%20and%20Quote.aspx
  2. Next to the “IP Office Configuration Tool”, click on “Full Install and Update”
  3. You can either open the file from our site or save to your hard drive.  Either way will work.
  4. After opening, if this is the first time to load the tool, click on Install New.  If you already have the tool loaded, you can click on Update.
  5. You will be prompted for a password:  (This password changes approximately every 30 days, your Inside Sales rep will have the new password)
  6. You should now have the new tool loaded.
  7. Open the tool as if you are going to create a new design.
  8. If you want to add your pricing, click on “Insert Dealer Price”.  In order to insert your cost, you will need to populate the DealerPriceAdd file with your pricing.  You can get your pricing from FastCatalog or contact your inside sales rep for ways to have a file created that you can automatically merge into the DealerPriceAdd file.  There is a small cost to pull a master price file that you can use to merge into the DealerPriceAdd file.
  9. After you have inserted your pricing, you will need to relaunch the configurator tool and you should click on “New Config” to create a new design.

Preparing the Design to Create a Proposal for your Customer:

  1. After you create your design, select the “Complete (Editable)” button to finish.
  2. You will be asked if you want to configure a network assessment or Catalyst services.  Select “Yes” or “No”
  3. You will then be asked if you want to go to the Catalyst Proposal Tool.  You would select “Yes” from this window to create a proposal to your customer.
  4. Lastly, you will get a window asking if you want to see leasing rates.
  5. Once you are finished with these three windows, and you selected “Yes” for the Proposal Tool, you will want to make preparations to create the proposal by starting from the “Config” tab.
  6. First you will want to select whether to include a discount percentage or margin percentage by clicking on the button in cell C171.  If you don’t have your price loaded into the design, you will want to use a discount percentage which is a discount off of list.  Be careful not to discount below your cost.
  7. Select the “Installation” button from cell A177.  This gives you the option to include a price for your services, include the pricing for Catalyst services, include a combination your services and Catalyst services or no installation services at all.
  8. The “Maintenance” button in cell A180 is used if you want to provide a pre-paid, wholesale, Avaya maintenance quote to your customer.  If you want to include this option, you must first follow the steps listed below under the “Downloading the Maintenance tool” and “Using the Maintenance tool”
  9. If you have received a Special Bid from Avaya, you can enter that percentage in cell D191.  You must have your cost entered in the design to reflect the correct, new cost.  You will see your updated pricing in column H.  This assumes all Avaya parts are included on the Special Bid letter.  Please verify that all parts that are discounted are reflected on the special bid letter.  If not, please adjust accordingly.
  10. You should now be ready to create the proposal.

Creating the Proposal:

  1. After you have updated the “Config” tab as outlined above, click on the “Go To Proposal” button in cell A189. 
  2. Once at the “Proposal” tab, click on the “Run” button.
  3. Answer the questions based on each window that pops up to create the proposal.
  4. At the end of the windows, you will be asked if you want to save any tabs.  You should select the “Proposal” tab and save that to your hard drive.
  5. You will see verbiage at the top of the proposal tab to “Insert your logo”.  You should copy and paste your logo here to personalize the proposal to your customer.
  6. It is recommended to save the proposal tab into a .PDF format.  This is what you can send directly to your customer.
  7. If you need to make changes, you can simply click on “Run” again to have the proposal created differently.

Downloading the Maintenance quote tool from the Avaya BP Portal:

  1. Go to the following URL:  https://partner.avaya.com/ptlWeb/bp/ and go to the “Pricing Tools” and select “Maintenance Price Tool”.  You will need a login id and password to access the Avaya BP Portal.
  2. This tool expires around the 15th of every month and a new tool will need to be downloaded every month.
  3. After you download the new tool, you will first need to unhide the “81,84 Full Cov” tab.  Afterwards, it is recommended to hide all tabs except the following:  “Input”, “Output” and “81,84 Full Cov”.
  4. Finally, you should go to the “Input” tab and copy line 6 down to about line 150.
  5. You should now save the tool with these changes so it is ready to use next time you open the tool.

Using the Maintenance Pricing Tool with the IPOffice Configurator:

  1. Go to the “Equipment” tab of your design and click “LIST” button.
  2. Copy all applicable material codes and quantities to the Maintenance Pricing tool “Input” tab.  (Some items might not show the proper Avaya Material Code i.e. UPS, Extreme, etc.  Please call your inside sales rep if you need to get an Avaya part # for any additional components)
  3. After entering all applicable material codes and quantities, click on the “Sort Per MPC” button.
  4. After sorting finishes, click on the “Produce Reports” button.
  5. You should receive a window that says, “Formula Expansion was Successful, Click OK to Continue.”  Click “OK”.
  6. Click on the “81,84 Full Cov” tab and select and copy from cell A1 to Column I down to the totals row.  Do not include in your selection, the verbiage, “This offer is available for most product lines.”
  7. Go to cell A1 of the “Maintenance” tab of your IPOffice design and paste the selection from the Maintenance Pricing tool.
  8. Close out of the Avaya Maintenance Pricing tool
  9. Go to the “config” tab of the IPOffice design and click on the button labeled “Maintenance” located in cell A180.
  10. The post warranty maintenance should now be correctly populated in the “config” tab and appropriate cells.
  11. You can change the number of years from 2 to 3 or 4 in cell B180.
  12. Now that you have completed these steps, you can include Avaya Maintenance as Wholesale, pre-paid in your proposal.

Updating the Implementation Pricing Tool:

  1. Catalyst programming services and network assessments can be selected from the services tab while creating your design.
  2. If you also have a need for an on-site technician to help with the rack and stack, contact your Inside Sales rep or Partner Services rep for the tool to quote the on-site technician piece.

Using the Implementation Pricing Tool with the IPOffice Configurator:

  1. If you have received the Implementation Pricing tool from Partner Services, you can quote all services and technician support from this tool.
  2. Begin by selecting the “Remote SI Price List” tab from the Implementation Pricing Tool and select the appropriate boxes.  Do the same thing on the “Add Services”, “Data Engineering” and “Network Assessment” tabs.
  3. Select the “Install” tab to quote the rack and stack portion of the installation.
  4. Go back to the summary page by clicking the “Return to Summary” button.
  5. Click on the “Import” button.
  6. Select and copy the “Summary” tab.
  7. Go to cell A1 of the “Implementation” tab of your IPOffice design and paste the selection from the Implementation Pricing tool.
  8. Go to the “config” tab of the IPOffice design and click on the button labeled “INSTALLATION” located in cell A177 and you can include Catalyst services as part of your proposal.
